Who we are

Winning Bid (winningbid.scot) is a buyer-side property intelligence platform for Scottish home buyers. We collect closing date submission data from buyers to build anonymised postcode-level benchmarks — helping future buyers understand what it takes to win a closing date in their area. This policy explains what data we collect, why, and how we handle it.

What data we collect and why

Submission data. When you submit a closing date entry, we store the following information to build our postcode-level dataset: full postcode, postcode district, Home Report valuation, closing date, intended bid (if provided), buyer type (first-time buyer or mover), and timestamp. This data is stored in a private Google Sheets database and used solely to build anonymised, aggregated benchmarks by postcode district. We do not sell this data or share it with third parties.

Email address. If you provide your email address, we store it to send you one notification when WinningBid launches for your postcode district, and one follow-up email approximately two days after your closing date to ask how your bid went. We do not add you to any marketing list. You can request deletion at any time.

Home Report PDF uploads. If you upload a Home Report PDF, it is processed to extract condition flags and the valuation figure for inclusion in our dataset. The PDF itself is not retained after processing — only the extracted data points are stored. We do not share or sell Home Report contents.

Usage data. We use standard web analytics to understand how the site is used — which pages are visited, how long users spend on them, and where they come from. This data is aggregated and does not identify individuals. We use Netlify's built-in analytics, which does not use cookies or fingerprinting.

Contact enquiries. If you contact us by email, we store your email address and the content of your message in order to respond. We do not add you to any mailing list without your explicit consent.

Cookies

Winning Bid does not use tracking cookies, advertising cookies, or third-party analytics cookies. The site uses no cookie banner because no consent-requiring cookies are set. If this changes, this policy will be updated and a cookie notice added before any cookies are deployed.

Third-party services

The site is hosted on Netlify (San Francisco, USA). Netlify processes web requests and may log IP addresses as part of standard server operation. Netlify's privacy policy is available at netlify.com/privacy.

The bid ceiling calculator uses the Anthropic API to process Home Report content. Data sent to the API is subject to Anthropic's privacy policy at anthropic.com/privacy. We do not send personally identifiable information to the Anthropic API — inputs are limited to the extracted text from Home Reports and the financial figures you provide.

Sold price data is sourced from Registers of Scotland, which is public information published under the Open Government Licence.

Legal basis for processing

Where we process personal data, we do so on the following bases: consent — for email communications, where you have explicitly provided your email address; and legitimate interests — for submission data used to build anonymised postcode benchmarks, which is the core purpose of the service. We do not process special category data. We do not make automated decisions with legal or significant effects.

Data retention

Submission data (postcode, valuation, intended bid, buyer type, closing date) is retained for as long as it is needed to build and maintain postcode benchmarks. Email addresses are retained until you request deletion or until 12 months after your closing date, whichever is sooner. Home Report PDFs are discarded immediately after processing. Email correspondence is retained for up to 12 months. Aggregated analytics data is retained for up to 24 months.

Your rights

Under UK GDPR you have the right to access, correct, or request deletion of personal data we hold about you. Because we retain very little personal data, most requests can be resolved immediately. To exercise any of these rights, contact us at [email protected].

Children

Winning Bid is not directed at children under 16 and we do not knowingly collect data from children. If you believe a child has submitted data through this site, please contact us and we will delete it promptly.

Changes to this policy

If we make material changes to this policy, we will update the effective date above. Continued use of the site after a policy change constitutes acceptance of the revised terms.
